Entering a Sales Quote

First off, log into Dynamics 365 for Sales. In the sales representative role, you’ll immediately be presented with an overview of your organization’s sales accounts. Open one of the accounts, and you’ll notice that the Account Information screen provides you with rich insights into that account, including various sales statistics. These are taken directly from Business Central. This is just one of the many ways that the integration between Dynamics 365 for Sales and Business Central can provide a sales rep with an improved understanding of accounts and customers.

Next, click the Quote icon on the left side of the screen. This takes you to the New Quote screen. Here, enter in the name of the quote, select your price list from Business Central, choose a customer, and click Save. Under Products, enter the various line items for the quote. Note that it’s possible to enter custom products by toggling the Existing option on the New Quote Product screen, or to simply select from your list of existing products.

Enter the quantity for each line item, save the quote, close it, and click the Activate Quote button in the top ribbon. That’s it! You’ve just entered a sales quote in Dynamics 365 for Sales.

Converting a Quote to a Sales Order

Now, it’s time to convert the quote to an order. While viewing the quote, click the Create Order button in the top ribbon. Enter the appropriate details in the pop-up window that appears and click OK. Now, all you have to do is click the Submit Order button at the top of your screen. That’s all there is to it!

Converting an Order to a Sales Invoice

This is where the magic of Dynamics 365 really shines through. Once you click the Submit Order button in the previous step, Dynamics 365 for Sales automatically sends the necessary information over to Business Central, making it easy to convert the order into a sales invoice.

To see how this works, launch Business Central and open the customer card for the account that corresponds to your order. On the right side of your screen, you’ll see the Ongoing Sales Orders tile. Click this, and you’ll immediately be taken to the sales order you just entered. From here, simply verify that the information is correct and click the Post button at the top of your screen. Select the appropriate option (for example, Ship and Invoice), click OK, and select Yes to open the posted invoice. You’ve now successfully converted the order to a sales invoice, all with just a couple of clicks -- and you can easily verify that the invoice has posted.

Review the Sales Invoice

If you switch back to Dynamics 365 for Sales, it’s easy to quickly review the newly created sales invoice. When you select the Invoices button on the left side of your screen, you’ll see the new sales invoice displayed. This ensures that those working in both Dynamics 365 Business Central and Dynamics 365 for Sales can keep up to date on the quote to cash process from either application.

Convert to Cash

Ready to convert to cash? From the Business Central dashboard, select the Cash Management menu at the top of your screen and click the Cash Receipt Journals item. Open the General Journal, enter the amount on the appropriate line item, and then click the ellipsis under the Applies to Doc. No. column. Here, select the corresponding invoice and click OK. Close the General Journal, and you’re done!
