Building a Smarter Intranet: How One Professional Services Firm Reconnected Its Workforce

When internal systems start creating more confusion than clarity, it’s a sign it’s time for change. That was the realization for MSA Professional Services, a growing engineering and consulting firm whose intranet had become more of a burden than a benefit.

What started as a custom SharePoint solution evolved into an unmanageable sprawl—fragmented, outdated, and difficult to navigate. Employees couldn’t find the resources they needed, and administrative overhead ballooned. Something had to give.

That’s when MSA turned to JourneyTeam—not just for implementation help, but for strategic guidance, enablement, and a smarter approach to internal communication. The result: Mosaic, a modern, mobile-ready intranet built on SharePoint Online and Microsoft Viva that is transforming how MSA communicates, collaborates, and connects across 18 offices.

Starting Fresh, Not Starting Over

One of the first steps in the project was agreeing not to replicate what existed. Rather than migrate a bloated and outdated structure to a newer platform, JourneyTeam led a complete redesign—from information architecture to governance and usability. Together, the teams decided that Mosaic would be purpose-built to serve today’s employees: mobile, distributed, and navigating both SharePoint and Microsoft Teams.

JourneyTeam’s approach was rooted in understanding people first. Through discovery workshops and journey mapping sessions, we helped MSA distill its intranet down to three core areas: Company, People, and Career. The content strategy emphasized clarity, evergreen relevance, and minimal duplication—replacing complexity with intention.

Human-Centered, Microsoft-Powered

Every step of the way, JourneyTeam prioritized empowerment, coaching MSA’s team through each project phase. From developing a content strategy and training on SharePoint modern site features, to hands-on help with governance and navigation design, JourneyTeam ensured that MSA owned the solution from day one.

And because MSA’s workforce is mobile and often on the move, responsiveness was non-negotiable. By leveraging native Microsoft 365 functionality and integrating the intranet with Teams, Mosaic gives employees access to vital information—anytime, anywhere, on any device.

“This wasn’t about bells and whistles,” explained Kevin Zollinger, a JourneyTeam Solution Specialist. “It was about enabling people to get in, get what they need, and get out.”

Less Maintenance, More Impact

The shift wasn’t just strategic, it was immediately measurable. Where the old system required full-time attention just to stay afloat, Mosaic now runs with only a few hours of maintenance each week. That’s time MSA has been able to reallocate to more strategic internal communications and employee engagement efforts.

MSA also saw a dramatic increase in trust and usability. Employees no longer guess where to look or default to asking around. They know where to go. They get answers quickly. The integration with Teams brings key updates to users organically, through notifications and embedded newsfeeds—without forcing another login.

“We realized we needed an intranet that wasn’t just a storage solution—it needed to be a launchpad,” said Alyssa Scheuneman, MSA’s Director of Marketing. “JourneyTeam guided us to exactly that.”

A Cultural Shift, Not Just a Technology Fix

While the technical improvements were significant, the deeper impact was cultural. With JourneyTeam’s help, MSA didn’t just clean up its intranet—it rethought how it communicates internally. Mosaic became more than a tool; it became a representation of MSA’s values, with features like employee spotlights and streamlined updates supporting connection across teams and time zones.

Importantly, communications became more intentional. Where once business-critical news was buried alongside community updates in a single feed, Mosaic now delivers curated streams that respect both the professional and personal sides of MSA’s employee culture. “We redefined how we communicate,” Scheuneman said. “We’re no longer flooding people with content. We’re sharing the right things, in the right ways, at the right time.”

Built for Now—And What’s Next

A core principle of the Mosaic redesign was scalability. Built on standard Microsoft 365 features with minimal customization, the intranet is poised to grow as MSA grows — and as Microsoft continues to evolve its ecosystem. Already, the company is exploring enhancements like virtual assistants for common HR questions, advanced search features, and deeper Viva integration.

The foundation is flexible. It’s manageable. And most importantly, it’s theirs. “We knew Microsoft would keep updating Teams and SharePoint,” Scheuneman said. “So we wanted something future-ready. No band-aids or workarounds—just clean design and native functionality.”

A True Partnership

From the start, MSA viewed JourneyTeam as more than a vendor, but as a collaborator that helped them rethink not just their intranet, but how they communicate, manage knowledge, and empower employees.

That mindset shaped every interaction. JourneyTeam’s focus on enablement gave MSA the skills, strategy, and structure to confidently manage Mosaic post-launch. From governance planning to training sessions, we worked side-by-side to ensure that success didn’t end at go-live. “JourneyTeam didn’t just drop a solution on our doorstep,” Scheuneman said. “They helped us build it, understand it, and own it.”
